Job Type
Permanent, full-time position (5 days/week – 40 hours), on-site at the Outaouais SPCA’s offices.
Salary
Starting annual salary of $57,950 to $61,000, depending on experience (determined according to the current pay scale).

Job Summary
The Finance and Administration Advisor combines technical and operational responsibilities in accounting and payroll management with administrative and strategic support for senior management and the Finance and Administration Advisor combines technical and operational responsibilities in accounting and payroll management with administrative and strategic support for senior management and the board of directors. The incumbent ensures compliance with financial processes, manages procurement, processes payments and deposits, supports governance documentation management, and actively contributes to the day-to-day efficiency of administrative operations.
Main Responsibilities
· Financial Management and Accounting
· Implement and optimize invoicing processes and ensure compliance;
· Process invoices, make payments, monitor accounts, and handle bank deposits;
· Perform monthly bank reconciliations;
· Handle external invoicing for key partners (MAPAQ, municipalities, etc.);
· Manage financial aspects of donations, including data entry and the creation and mailing of official donation receipts;
· Participate in the development of the annual budget, its implementation, and the monitoring of financial indicators;
· Produce financial reports and analyses to support management decision-making.
Payroll Management
· Manage the payroll system.
Support for Executive Management and Special Projects
· Provide administrative, logistical, and strategic support to executive management in day-to-day management and special assignments;
· Participate in the drafting and preparation of management documents, activity reports, and presentations;
· Manage communications with the organization’s partners and oversee administrative supplies;
· Contribute to planning, logistics, and operational support for special events.
Governance and Board of Directors Support
· Work closely with the secretary of the Board of Directors to ensure high-quality communications and document management;
· Assist in preparing Board meetings, including drafting agendas, minutes, and supporting documents;
· Ensure smooth coordination and rigorous follow-up on matters between senior management and the Board of Directors;
· Ensure compliance with best practices in administrative and financial management applicable to the nonprofit sector.
Desired Profile
Requirements
· College or university degree in administration, accounting, management, or a related field;
· Relevant experience in financial management, payroll processing, or executive/governance support;
· Experience working within a nonprofit organization (NPO) is considered an asset;
· Excellent proficiency with digital tools, Microsoft Office, QuickBooks, and accounting software;
· Excellent writing, analytical, and communication skills in French and English.
